The Role

We’re looking for an organized and proactive Administrative Assistant to keep our people, office, and internal operations running smoothly. This is a highly cross-functional role at the heart of our Omaha HQ, supporting everything from executive calendars and team events to hiring logistics and vendor coordination. If you’re the kind of person who notices when the snack shelf is low, thrives on multitasking, and loves being the go-to problem solver, we’d love to meet you.

What You'll Do

Office & Operations

  • Keep our office organized and stocked with supplies and snacks
  • Coordinate local deliveries, vendor visits, and office errands
  • Support logistics for team events, meetings, and external gatherings

Swag & Branding

  • Manage our inventory of swag and coordinate custom orders
  • Prepare and send onboarding kits and gifts for new hires, partners, and customers

Scheduling & Administrative Support

  • Provide calendar and meeting coordination across time zones
  • Offer ad hoc support to executive and team leads as needed

Hiring & Onboarding

  • Help schedule interviews and communicate with candidates
  • Assist with onboarding logistics like welcome emails and account setup

Finance & Accounting

  • Track team expenses and follow up on missing receipts
  • Light spreadsheet work for operational tracking

Sales & Marketing Support

  • Send templated outreach emails on behalf of the sales team
  • Help update CRM tools and sales enablement systems

Process Improvement

  • Identify ways to make internal workflows more efficient
  • Collaborate across teams to streamline admin and ops processes

What We're Looking For

  • 1–3 years of experience in admin, office coordination, or operations
  • A detail-oriented multitasker who thrives in a fast-paced environment
  • Self-starter with excellent communication and follow-through
  • Comfortable using Google Workspace, Slack, and basic spreadsheets
  • Friendly, approachable, and excited to support a growing team
